By Code Alpha AI team ·
The first five seconds decide whether a caller stays on the line. A good greeting tells them who they reached, that it is an AI, and what happens next. Here is how to write one, with examples you can copy into Alpha Assistant.
The four rules
- Say it is an AI. Honesty builds trust and is required in many places. "I'm Sam's AI assistant" is enough.
- Name the person. Callers relax when they know they reached the right number.
- Give a reason, briefly. "Sam is with a client" sounds better than "Sam is unavailable".
- Ask one clear question. It moves the call forward and routes it quickly.
Keep it under 15 seconds when spoken.
Examples you can copy
Business owner
"Hi, you've reached Alex's AI assistant. Alex is on a job right now. Are you calling about a new quote or an existing job?"
Consultant or freelancer
"Hello, this is Priya's AI assistant. Priya is in a session. I can take your details or book a time to talk. What would you like to do?"
Executive
"Good morning, you've reached Daniel's AI assistant. He's in meetings this morning. May I ask who is calling and what it's about?"
Personal
"Hi, it's Behnam's AI assistant. He can't pick up right now. Is it urgent, or can I take a message?"
After hours
"Hi, you've reached Mia's AI assistant. Mia is offline until 8 tomorrow morning. I can take a message or book a call for tomorrow."
Match the voice to the greeting
Alpha Assistant offers several natural voices in US, UK and Australian accents. Pick one that suits your clients. You can hear them in the live call demo.
Mistakes to avoid
- Pretending to be human. Callers notice, and it damages trust.
- Long menus. "Press one for..." belongs to call centres.
- Too much detail. Save hours, address and prices for when the caller asks.
- No next step. Always end the greeting with a question.
Frequently asked questions
Can I change the greeting later?
Yes. You can update it any time, for example a different greeting while you are on holiday.
Should the greeting say why I'm unavailable?
A short, general reason helps ("in a meeting", "on site"). Never share anything private.
Can I use different greetings for VIPs?
With Alpha Assistant, VIP callers can be handled differently from unknown numbers, so family and key clients get a warmer, more personal response.
